Plans, storage and billing
Billing lives under Access & Billing → Upgrade Plan, headed Change plan. Changing anything there needs the billing permission; without it you are told to ask an administrator.
What your plan actually allows
Section titled “What your plan actually allows”These are the allowances Sqoura counts and enforces. They are the only numbers you will ever be stopped by, and your usage against every one of them shows on the Usage card in Organisation settings.

Beyond those allowances, exactly two capabilities depend on your plan, and both are included from Club upwards:
- Publishing a draw
- Bulk approve and bulk reject
A Free organisation has neither.
Storage is the one to watch
Section titled “Storage is the one to watch”Registration attachments — identity documents, photographs, payment slips — are what fill storage, and a busy season fills it faster than people expect. The Usage card warns you at 80%.
Email limits behave more kindly. At the ceiling, bulk mail such as reminders and digests is refused, but transactional mail — verifications, receipts, invitations — is still sent. A payer never loses a receipt because the organisation has been chatty.
Buying extra storage
Section titled “Buying extra storage”An Extra storage card sits above the plan comparison. It only appears when there is something to sell, so if you cannot see it, there is nothing to buy today and support is the way to ask.
- Each add-on shows its size per unit and how many you currently hold.
- Type the quantity you want and press Update, or set it to zero and press Remove.
- You are asked for a second-factor code.
- You are told “Sent to billing. Your allowance updates once the payment is confirmed.”
Extra storage is added to your plan’s allowance and billed alongside your subscription, charged or credited for the remainder of the current period. Your allowance does not move until the payment goes through, so give it a moment before checking the Usage card.
Changing plan
Section titled “Changing plan”- Choose monthly or annual with the toggle beside Compare all plans.
- Press Upgrade on the plan you want, or Switch if you are moving down. Enterprise shows Contact sales instead — there is no self-serve Enterprise purchase.
- A dialog opens: “Billed monthly/yearly from today. Your subscription keeps its renewal date and payment method.”
- While it reads Working out what this costs… the price is being calculated by the payment provider. You then see either Due today or Credited to your account, plus your Next invoice.
- Press Confirm switch.
You are never charged an amount you have not been shown first. The change can take a few seconds to appear everywhere, because it is recorded when the payment provider confirms it rather than when you press the button.
Moving down
Section titled “Moving down”If your organisation is larger than the plan you are moving to, the dialog warns “This organisation is larger than <tier> allows” and lists exactly which allowances are over. The confirm button stays disabled until you fit — remove members, delete files or cancel invitations first.
If you are billed by invoice
Section titled “If you are billed by invoice”An invoiced organisation sees a different page: a panel headed Billed by invoice naming the date you are paid through, a Contact your account manager link, and Talk to us on every plan instead of Upgrade. The billing-cycle toggle and the extra-storage card are not shown.
There is nothing to set up there by design. To change plan, renew, or get a copy of an invoice, talk to your account manager.
If a subscription lapses
Section titled “If a subscription lapses”The whole app moves to a hold page headed <Organisation> is on hold, which states why. Nothing is deleted — every form, tournament and registration stays exactly where you left it and comes back when the account is settled.
- A card-billed organisation gets Restore access.
- An invoiced one gets Get in touch about your invoice.
- If you belong to other organisations they are listed underneath, unaffected, and you can switch straight into them.
The restore page shows what you are restoring before it asks for a card: Paid up to, People locked out, Your work — “Kept in full — nothing has been deleted” — and When access returns — “Immediately after payment”. Your previous plan is tagged as such in the list. Restoring needs the billing permission; without it the message is “You do not have permission to manage billing for this organisation. Ask an administrator to restore it.”
